The Situation

Aayra had grown steadily as a ladies apparel brand, but its internal systems hadn't kept pace. Like many businesses at this stage, the team was managing operations through a combination of Excel files, WhatsApp threads, and institutional knowledge held by a handful of people. It worked until it didn't.

As the product range expanded and order volumes grew, the cracks became hard to ignore. Nobody had a clear answer on how much raw material was in stock. Payroll was a manual exercise every month. Production targets were tracked in a shared spreadsheet that was always slightly out of date. And when ownership asked for a P&L, the answer involved waiting two weeks for the accountant.

What We Did

We started with a discovery phase, mapping every business function, understanding how decisions were being made, and identifying where the most painful gaps were. Rather than deploying everything at once and overwhelming the team, we introduced each capability in a sequence that made sense operationally: starting with inventory and purchasing (the most pressing pain points), then extending to HR and payroll, production, retail, accounts, and finally fixed assets.

Each phase was validated with the team before moving to the next. Training was embedded throughout the process, not delivered as a one-off session at the end. The goal was not just a working system, but a team that understood and owned it.

Inventory & Purchasing

The first and most fundamental piece. Raw materials, work-in-progress, and finished goods were brought into a single inventory system across multiple storage locations. Every purchase, from fabric rolls to packaging, now goes through a formal approval and receipt process, creating a full audit trail from order to payment.

Production at Aayra involves multiple stages (cutting, stitching, finishing, and quality check), with some processes outsourced to specialist vendors. We built a production management layer that formalised how materials move through each stage, replacing informal verbal handoffs with system-tracked work orders.

Retail & Point of Sale

The retail store was running on a standalone cash register with no connection to inventory or accounts. We replaced it with a fully integrated POS that deducts stock at point of sale, posts automatically to the general ledger, and builds a real customer database over time, giving the brand its first meaningful view of buying behaviour.

With every other module in place, the accounting layer came together naturally. Because purchasing, sales, payroll, and production were all system-driven, the general ledger was being populated automatically. Ownership could now see a real-time P&L, balance sheet, and cash position. Not a two-week-old approximation.
